TERMS AND CONDITIONS
PRICING AND MINIMUM PARTICIPATION
All prices quoted are based on supplier prices and exchange rates at the time. The tour price is calculated and based on a minimum participation of 8 passengers and the entire group must travel together throughout. The price is fully inclusive of all pre-payable airport taxes/surcharges. Until final payment has been received it is subject to possible change due to currency fluctuations and/or unforeseen operator expenses.
Because the tour is organized long in advance it may at times become necessary to change the itinerary or make substitutions due to unforeseen circumstances.
TAXES, GRATUITIES AND TIPS
All pre-payable taxes are included in the tour price unless stated otherwise. If not included, a guide to such locally paid departure taxes, required visas and recommended tips will be given.
DEPOSITS & CANCELLATION
A non-refundable deposit per person is required at the time of making a reservation. Final payments are due eight weeks prior to departure. Cancellation must be in writing and charges will be determined at the time. The following fees represent the maximum cancellation charges which may be charged:
- Cancellation more than 12 weeks prior to departure – 90% of the total tour price.
- Cancellation within 12 – 8 weeks prior to departure – 50% of the total tour price.
- Cancellation less than 8 weeks prior to departure – No Refund
No refunds will be made for no shows or any unused services, irrespective of whether they are part of the basic inclusive tour price or whether they are in respect of pre-booked optional travel agreements.
PASSPORTS, VISAS & TRAVEL INSURANCE
It is the passenger’s responsibility to ensure that they are in possession of a valid passport with permitted expiry date together with health documents and any visas that may be required. Expedition Earth will inform passengers and assist with information that he/she has adequate travel insurance cover before leaving. In cases where Expedition Earth includes group travel insurance, the details of such will be made available to tour members in order for them to determine whether additional insurance is required. It remains the responsibility of the tour member to determine whether he/she has adequate travel insurance. No Visa is required for South African Tourists traveling to Namibia.
MOBILITY / MEDICAL PROBLEMS
The tour as planned will not be physically strenuous but tour members must be able to stroll comfortably and unaided by someone else for at least 30 – 60 minutes at a time. If you have any medical problem or disability which may affect your participation in the tour, you need to give Expedition Earth full details in writing at the time of booking. If Expedition Earth reasonably feels unable to properly accommodate the particular needs of the person concerned, we reserve the right to decline their reservation or, if full details were not given at the time of booking, cancel when we become aware of these details.
The passenger’s enjoyment of the tour is Expedition Earth’s priority. We will endeavor to ensure that all arrangements are satisfactory. However, Expedition Earth acts as an agent between the passenger and service providers in all matters concerning accommodation, meals, sightseeing, and all transportation and as such cannot be held liable for loss, damage, death, expense or inconvenience resulting directly or indirectly from any act of negligence, default or omission on the part of Expedition Earth, any person or corporation or arising from any event beyond Expedition Earth’s control. The provision of facilities or services is subject to the terms and conditions of the service provider and you should make yourself aware of such. Expedition Earth does not have control of suppliers and does not accept liability for errors and changes of the mentioned suppliers.
